Job Description

Our client a large School Academies Trust are currently recruiting for a Compliance and Facilities Officer for a fixed 6mth - 12mth contract based in South West London to start asap. 

Main Purpose of Job:
 
The Officer will assist in developing and maintaining the school’s compliance and facilities assets on the Parago system. They will ensure records are kept up to date and providing an efficient asset and compliance reporting function for the schools and College centres working closely with the on-site facilities and Health and safety teams under the instruction of the Central Facilities, Health and Safety and Finance team.
 
Summary of Duties and Responsibilities:
 
  • Monitor and develop our Compliance checks across all sites using the Parago system.
  • Overseeing the maintenance of the compliance part of Parago.
  • Updating the Parago system if information is missing
  • Monthly data review to ensure Parago is kept up to date with regards to compliance reporting and asset tagging. Work closely with the Contracts  and Assets Manager and Head of Health and safety.
  • Check fixed assets on Parago and run reports and carry out spot checks.
  • Work closely with the MIS Manager to ensure the system is set up and working on the sites.
  • Help to tag assets where required.
  • Work closely with the Head of Health and Safety to ensure that all aspects of the compliance checklist is set up on Parago and input onto the system
  • Check Parago system by carrying out audits across the trust in line with statutory regulations
  • Assist and train facilities staff where required to ensure the correct information is being input in a timely way.
  • Carry out the Health and safety checks on site and input onto the Parago system.
  • Bring to the attention the Head of Health and safety if anything is missing.
  • Be proactive and ‘hands on’ with regards to setting up new sites if required.
  • Assistance with development of processes and procedures to ensure all statutory regulations are adhered to along with internal Finance Regulations and Procedures.
  • Good working knowledge of IT (Microsoft Office, excel, email and experience of using spreadsheets and databases)
  • Liaison with all levels of personnel 
  • Such other duties as may reasonably be required.
Other Duties
  • Tagging assets and counting assets if required.
  • To comply at all times with the requirements of the Health and Safety regulations and to take responsibility for the health and safety and welfare of others in the working environment.
  • Adhere to and contribute to the College’s Equality and Diversity Policy 
  • Share administration with the Finance Admin Assistants if required, including answering telephones and opening post. 

Essential requirement:

Qualifications
  • Recognised H&S qualifications; ISOH Managing Safety, (working towards NEBOSH general certificate would be an advantage)
  • Good level of English, Maths, Design and IT at GCSE level 
  • Full, clean driving license and own personal transport, and ability and willingness to travel between Trust sites
  • Enhanced DBS - recent within the last 12mths or be willing to put through one asap
Knowledge, Skills and Experience
  • Experience of Health and Safety and recording data
  • Knowledge of current Health & Safety Statutory Regulations
  • Ability to understand and ensure compliance with Health and Safety at Work Act
  • Good working knowledge of IT (Microsoft Office, email and experience of using spreadsheets and databases)
  • Good administrative and organisational skills and the ability to prioritise workload effectively
  • Ability to work effectively as part of a team
  • Good customer service skills, and the ability to communicate effectively 
  • Experience and be comfortable with working in a range of settings, as this role will be split between visiting sites and with an office environment

In return our client is offering a salary from £30,000.00 per annum per rota.
